Privacy Policy

This policy explains what information Rhoads Technologies collects when you use Aizu and getaizu.com, why we collect it, who we share it with, and the choices you have.

The short version

  • Your organization owns what it puts in Aizu. We process it only to provide the service.
  • We don't sell personal information, show ads, or track you across other websites.
  • We don't use your workspace content to train AI models.
  • On getaizu.com, we learn how you found us only when you choose to contact us or sign up.
  • You can ask us to see, correct or delete your information at any time.

1. Who we are

Aizu is provided by Rhoads Technologies (“Rhoads Technologies”, “we”, “us”). This policy covers:

  • our website at getaizu.com;
  • the Aizu application, including login.getaizu.com and each workspace address such as yourcompany.getaizu.com (together, the “Service”);
  • emails and support we provide in connection with them.

Questions about this policy can be sent to info@rhoadstechnologies.com.

2. Your organization's data and ours

Aizu is a business product. Most of what is stored in it is Workspace Content: the initiatives, ideas, decisions, metrics, comments, files and other material that you and your colleagues add to a workspace, or that Aizu reads from tools your workspace connects.

For Workspace Content, the organization that owns the workspace (our customer) decides what is collected and how it is used. We process it on that organization's behalf, under our Terms of Service and any agreement we have with them. If you have questions about Workspace Content, or want it changed or deleted, contact your workspace administrator first. We will help them respond.

For everything else described in this policy, such as your account, billing, our website and our own communications with you, Rhoads Technologies decides how the information is used.

3. Information we collect

Account information

When you create an account or accept an invitation, we collect your name, email address and, if you sign in with a provider such as Google, the basic profile it shares with us (name, email address and profile picture). Sign-in is handled by our authentication provider, Clerk. We do not receive or store your password, and we do not receive access to your Google account beyond that basic profile.

We also keep the workspaces you belong to, your role in each, and whether you have set up two-step verification.

Workspace Content

Everything you and your colleagues enter or upload in a workspace, as described in section 2, along with an activity history of who changed what and when. Files you attach are stored with the rest of the workspace.

Connected tools

If your workspace connects Aizu to another system, such as Jira, Azure DevOps, Linear, GitHub, Slack or Microsoft Teams, we store the connection details your administrator provides (for example, an access token or webhook address) and the information Aizu reads from that system to do its job, such as work items, estimates and statuses. Access tokens are encrypted when stored. What a connection can read is limited by the permissions you grant in that system.

Billing information

Paid plans are billed through Stripe. You enter payment details directly with Stripe, and we never see or store your full card number. Stripe tells us the subscription status, plan, number of seats and billing period, and we keep a record of that alongside your workspace.

Information you send us

When you use the contact form, request a copy of your PROVE self-assessment results, or email us, we collect what you provide, such as your name, work email, company, title, message, and your assessment answers and scores. We also record whether you agreed to receive occasional articles and product news.

How you found us

To understand which pages and articles lead people to Aizu, getaizu.com keeps a small record in your own browser of how you first and most recently arrived (the page you landed on, the website that referred you, and any campaign tags in the link) and which articles you read. This record stays in your browser and is sent to us only if you submit the contact form or follow a “Start free” or “Sign in” link and create an account. We don't use it to identify visitors who don't contact us or sign up.

Usage and technical information

  • Article statistics. We count article views, reads and call-to-action clicks as daily totals, with no visitor identifiers.
  • Workspace usage. We look at the state of each workspace, such as the number of members and initiatives and when it was last active, to support customers and understand how Aizu is adopted.
  • Security and operations. Like any website, our hosting provider processes your IP address, browser type and request details to deliver pages, block abuse and keep the Service secure. Sign-in pages use automated bot protection.

4. How we use information

  • To provide, secure and maintain the Service, including signing you in and keeping each organization's data separate.
  • To process payments and manage subscriptions.
  • To send service messages, such as invitations, notifications you or your workspace have set up, requests for evidence, receipts and security notices.
  • To answer your questions and provide support.
  • To follow up on a contact request or self-assessment you sent us, and to understand which of our pages and articles are useful.
  • To send articles and product news, only if you agreed to receive them. Every such email lets you unsubscribe.
  • To improve the Service, using workspace usage information as described above.
  • To meet legal obligations, enforce our Terms, and protect the rights and safety of our users and of Rhoads Technologies.

We don't sell personal information, share it for targeted advertising, or use Workspace Content to train AI models. If we add features that use AI to process Workspace Content, we will describe them here before they are available, including which provider processes the data.

5. Who we share information with

We share information only as described here.

Service providers

These companies process information for us to run the Service, under contracts that limit their use of it:

ProviderWhat they do for us
CloudflareHosting, database and file storage, domain name service, content delivery, and security and abuse protection
ClerkAccounts, sign-in, two-step verification, organization membership and invitations
StripePayments, invoices and subscriptions
ResendDelivery of the emails we send
GoogleSign in with Google, if you choose it

Tools your workspace connects

When your workspace connects Jira, Azure DevOps, Linear, GitHub, Slack, Microsoft Teams or another tool, Aizu exchanges information with that tool as your administrator has directed. That tool's own terms and privacy policy apply to it.

Your organization

Workspace administrators can see the members of their workspace, their roles and the workspace's activity history.

Legal and business reasons

We may disclose information if we believe in good faith that the law requires it, or that it is necessary to protect the rights, property or safety of our users, the public or Rhoads Technologies. If Rhoads Technologies is involved in a merger, acquisition or sale of assets, information may transfer as part of that transaction, and this policy will continue to apply to it.

6. Cookies and browser storage

We use only what the Service needs to work:

  • Sign-in cookies from Clerk keep you signed in across your workspaces. The Service can't be used without them.
  • Browser storage remembers preferences such as light or dark appearance and a collapsed sidebar, notices you've dismissed, and the “how you found us” record described in section 3.

We don't use advertising cookies or third-party tracking pixels. You can clear browser storage at any time in your browser's settings; you will need to sign in again.

7. How long we keep information

  • Account information is kept while your account is active and deleted when you ask us to close it, unless we must keep a record for legal reasons.
  • Workspace Content is kept until the workspace's administrators delete it or ask us to delete the workspace. After a workspace is deleted, its content is removed from our systems within 30 days, and from our backups within a further 30 days.
  • Billing records are kept as long as tax and accounting law requires.
  • Contact and prospect records are kept while they are useful for the conversation you started with us, and deleted when you ask.

8. Security

We protect information with encryption in transit, encryption of stored connection tokens, separation of each organization's data, role-based permissions inside each workspace, two-step verification and restricted access for our staff tools, and an audit trail of administrative changes. No system is completely secure, so we can't guarantee absolute security. If we learn of a breach that affects your personal information, we will notify you and your organization as the law requires.

9. Your choices and rights

  • Your account. You can update your name, email and sign-in methods in your account settings.
  • Marketing email. Use the unsubscribe link in any marketing email, or tell us, and we'll stop.
  • Access, correction, deletion and copies. You can ask us for a copy of the personal information we hold about you, or ask us to correct or delete it. Depending on where you live, you may have further rights, such as to restrict or object to certain uses, or to appeal a decision we make about your request.

To make a request, email info@rhoadstechnologies.com. We will confirm your identity before acting, and respond within 45 days. For Workspace Content, we will usually refer your request to the workspace's administrators, who control that information. We won't treat you differently for exercising your rights.

10. Where information is processed

Rhoads Technologies is based in the United States, and information is stored and processed in the United States and in other countries where our service providers operate. If you use Aizu from outside the United States, your information will be transferred to the United States. Organizations that need a data processing agreement can contact us.

11. Children

Aizu is for businesses and other organizations. It isn't directed to children, and we don't knowingly collect information from anyone under 18. If you believe a child has given us information, contact us and we will delete it.

12. Changes to this policy

We may update this policy as Aizu changes. We will post the new version here with a new date. If a change significantly affects how we use your personal information, we will tell you by email or in the Service before it takes effect.
